How do I set up inbound emailing with Office365?

If you're sending out emails from within the Fair Licensing portal via an Outlook/Office365 account, follow these steps in order to see the responses in the portal, too.

Responses to the emails that were sent out need to be redirected from your Outlook/Office365 account to the Fair Licensing mailserver.

In the Fair Licensing Portal click Admin->Account->Email Setup and scroll down to "Inbound Emails". There you find your unique forwarding email address. The forwarding email address ends on @mailfwd.fairlicensing.com.

Note: the redirecting rule can not be set up in the Outlook desktop application. It has to be done in the Outlook Web App (OWA).

 

Steps to redirect incoming emails:

  1. Log in to the Outlook account that you configured in your Fair Licensing email setup using the Outlook Web App (https://outlook.office.com/mail/)
  2. In the top right corner, click on the settings icon (gear)
  3. click the 'View all Outlook settings' button at the bottom of the settings pane
  4. in the settings list, select 'Rules'
  5. click 'Add new rule'
  6. Enter a name for the rule (e.g. 'Redirect to Fair Licensing')
  7. Under point 2 ('Add a condition') click on 'Select a condition'
  8. select 'Apply to all messages' from the dropdown menu
  9. Under point 3 ('Add an action') click on 'Select an action'
  10. select 'Redirect to' in the dropdown menu
  11. enter the above mentioned forwarding email address (ending on @mailfwd.fairlicensing.com)
  12. (optional: you could add other actions to mark the incoming mail as read or move it to a folder)
  13. click the 'Save' button
  14. In the Fair Licensing Portal go to Admin->Email Setup and scroll down to the Inbound Email section. Click the 'Activate' button in that section to test your setup. If your setup is working the 'Status' field will switch to 'Active'.

Note: for security reasons, an office365 administrator might have to allow the redirection of emails to another email account.
